Operational reporting and data engineering
Your team exports data, adjusts a spreadsheet and reconciles the same report again next week. The dashboard is available, but someone still has to explain why it disagrees with the source.
01
Make the numbers behind your operating decisions explainable
Better builds custom reporting software and the data processing behind it. We work with your operating team to define the numbers, trace their sources and build a reporting workflow with clear checks and ownership.
Start with one critical report. Agree what it should count, where the evidence comes from and what a useful first release must demonstrate.
30 minutes with Jai, Better's founder. Bring the report, the systems it depends on and the decision it supports. The first conversation establishes fit and what needs to be understood next.
02
When reporting becomes an engineering problem
This work is relevant when recurring reporting depends on manual joins, unexplained adjustments or a person who knows which export to trust. It can also help when a business adds locations or systems and the same metric starts meaning different things in different places.
The problem may sit in the source data, the transformation, the calculation or the reporting period. We trace that path before proposing a new dashboard or a larger data platform.
If an existing product can answer the question with configuration, use that first. Custom engineering becomes useful when the required sources, rules, access or exception handling cannot be supported reliably in the existing setup.
03
A first scope you can evaluate
We propose beginning with one recurring report and an agreed set of sources. Before work starts, we agree the deliverables, responsibilities, access requirements and budget. Where source access or business rules are uncertain, the first scope is investigation rather than a promised production build.
| Work | What the first scope should produce |
|---|---|
| Define the report | Metric definitions, included records, reporting period, exclusions and business approver |
| Trace the sources | Source-to-report map, available identifiers, extraction constraints and unresolved dependencies |
| Investigate differences | Missing, repeated or changed records, explanation of material discrepancies and an owner for open questions |
| Choose the implementation | A recommendation to configure, repair or build, with dependencies and a scoped delivery proposal |
When the evidence supports implementation, the next slice connects the agreed inputs to a usable report and its checks. It should be small enough for your operating team to review against real work.
04
Keep the evidence beside the report
A useful reporting workflow needs a path from source records to the decision someone makes. Our proposed design separates those responsibilities:
01
Source records.
Retain the approved input boundary, source reference and extraction time.
Can we access and identify the agreed records?
Scope access/source investigation; do not promise a production report.
02
Definitions and transformations.
Make the calculation and the meaning of each row explicit.
Has the owner agreed what the report counts?
Record the disputed rule and accountable business decision.
03
Reconciliation and exceptions.
Compare agreed records and totals; keep unresolved differences visible.
Are differences explained or assigned for resolution?
Keep exceptions visible; agree the remaining investigation.
04
Report and operating owner.
Show the reporting period, freshness and who investigates a failure.
Is the implementation scope reviewable and its ownership agreed?
Resolve scope and responsibility before implementation commitment.
This is a proposed workflow, not a screenshot of a customer system. The details depend on what your source systems expose.
For example, a source export and a report can both total $1,000 while containing different invoices. Our worked report-acceptance example shows why a total alone cannot establish record agreement. The example uses synthetic records and an offline comparison, not a deployed Power BI model.
We agree the relevant checks for your report, including how corrections, late records and failed updates should be handled. A successful data refresh is one signal; the business definition and included population need their own checks.
05
Reporting experience in an operating business
Better's work with Apex Dental Partners includes a custom web application for reporting, payroll, time management and business operations across a dental group that has grown past 45 practices.
That work involved reporting across locations and access that differed by practice, region and finance role. It is relevant experience in custom operations software. It is not evidence of a Power BI implementation, DAX certification or Microsoft partner status.
06
Work with the reporting tools you already use
The right change may be upstream of your dashboard. We can scope source processing and reconciliation around an existing reporting tool rather than assuming the interface needs replacing.
If your project requires Power BI semantic modeling, DAX, tenant administration or platform migration, those skills and responsibilities must be established for the assigned delivery team before we commit to that work.
For a single visual or formula question, a focused BI specialist may be sufficient. Better is a stronger fit when reporting is part of an ongoing software and operations problem that needs engineering ownership.
07
Agree who keeps it working
Before release, we agree who approves metric changes, maintains source access, investigates failed updates and accepts known exceptions. Your business team owns the meaning of the report and operational decisions. The engineering responsibilities belong in the scope and handover.
The estimate depends on source availability, historical data, calculation complexity, freshness needs, access boundaries and the work required to resolve exceptions. We explain those assumptions before agreeing the first release. See our team and pricing approach.
08
Bring the report your team keeps reconciling
Tell us which decision it supports, where the disagreement appears and what happens if the number is late or wrong. We will discuss whether the next step is configuration, a bounded investigation or a software build.
