Shopify custom app development for merchant operations
When Shopify and your internal systems leave work between them, start with one workflow your team can describe and measure. Better Software offers a scoped engineering assessment to define the app, integration boundary and operating responsibility before committing to implementation.
Bring the process your team handles manually, the systems involved and an example of where it breaks. We will discuss whether configuration, an existing connector or custom development fits the gap. Shopify implementation scope and the responsible platform engineer must be confirmed before a build commitment.
01
Start with the work your team repeats
An order reaches the store, but someone still checks a second system before preparation can begin. A cancellation changes the commercial decision after another team has started work. An internal service needs store data, but the existing connector does not cover the rule that matters to your business.
Those are candidate engineering problems. The first question is what the business needs to happen and who decides when the systems disagree. A new app is justified only when it closes a specific gap that the existing setup cannot handle economically.
This offer is for established merchants with an operating owner and a bounded workflow. A general storefront redesign, a public App Store business and payment processing need different scopes.
02
A defined assessment before a build proposal
The assessment should leave you with a decision you can use, including a decision to keep the current tools. We define its effort and commercial terms before starting. There is no fixed price or delivery promise based only on a feature list.
| Assessment output | What it makes explicit |
|---|---|
| Workflow and responsibility map | Trigger, systems, business rules and the person who resolves exceptions |
| Platform feasibility record | Stores, distribution choice, permissions, interface and access still to verify |
| Build-versus-configure decision | The unsupported rule or handoff that warrants custom engineering |
| Acceptance and recovery plan | Evidence for correct work, repeated requests, missing changes and interrupted transfers |
| Delivery scope and operating plan | Implementation responsibilities, dependencies, estimate assumptions and ongoing support |
A subsequent build proposal depends on verified API access, platform feasibility and an accountable implementation owner. If a platform-specific requirement cannot be supported, we narrow the scope or identify the missing capability before asking you to proceed.
03
Decide which kind of Shopify app you need
A merchant-specific operations app is different from a product distributed to unrelated merchants. Shopify's custom distribution covers a single store or stores within one Plus organization. Public distribution has a different approval path, and the selected distribution method cannot be changed. Shopify distribution guidance.
We put that choice in the scope before treating an internal integration as a future App Store product. We also identify where the feature must run: an external service, an admin interface or an extension surface.
Plus does not make every customization available. Checkout UI extensions at the information, shipping and payment steps require Plus, and the exact target still needs verification. Checkout UI extension requirements.
Our proposed starting scope is a back-office workflow. Checkout extensions, public-app approval and payment integrations are separate work requiring confirmed platform capability and eligibility.
04
See what a bounded workflow looks like
Illustrative design, not a customer implementation or working demo.
Consider a merchant whose internal preparation service needs to receive eligible Shopify orders. The store owns the cancellation status. The preparation service owns the record of physical work. The operating lead decides what happens when cancellation arrives after preparation begins.
The proposed flow is:
- Shopify order change
- validation and durable work record
- preparation service
- recorded outcome
- Scheduled state comparison
- unresolved differences
- operating owner
The comparison helps identify disagreement with current store data. It does not reconstruct every intermediate event or reverse physical work. Any business transition that must be retained needs its own agreed evidence.
Shopify documents ordering and delivery limitations and recommends reconciliation alongside webhooks. That makes recovery part of the scope, rather than an assumption that a successful transfer demonstration settles. Webhook behavior.
For this hypothetical workflow, acceptance would include a duplicate order producing one preparation job, an interrupted response resolving to the existing job, and a late cancellation reaching a named owner. The exact rules depend on the merchant's process and the receiving system's capabilities.
05
Relevant engineering work, with its boundary clear
Better Software's Apex Dental Partners case study describes a custom web application for reporting, payroll, time management and business operations. It shows work on operational software around existing business systems.
That is relevant general engineering evidence. It is not a Shopify implementation reference. We do not present it as proof of Shopify partner status, app approvals or commerce-specific results. Your project still needs its platform requirements and responsible engineer confirmed.
06
Scope the cost around dependencies and responsibility
The main cost drivers are the number of systems and stores, the rules that decide an action, the quality of access and data, and how much recovery needs an operator. Historical migration, an embedded interface and ongoing support add different kinds of work.
Bring the current tools and their recurring costs as well. A supported connector may be the better commercial choice when it covers the process. Custom engineering needs a clear reason to own the additional maintenance.
For implementation, agree who controls the repository, hosting, app configuration, production access and release process. Agree who responds to failures, how changes are tested and what happens when a developer leaves. Those responsibilities belong in the proposal alongside features.
07
Bring one workflow to the first discussion
Bring the store and systems involved, one representative order or process example without customer secrets, the recurring manual work and the consequence of a missed action. Include any connector you have already tried.
The first conversation is to identify fit and the next evidence needed. It is not a promise of platform feasibility or a fixed build estimate. If the gap merits a scoped assessment, we can define its outputs and terms together.
